Public Strategies (PS) is a nationally respected consulting, project management, and marketing firm based in Oklahoma City. Position Summary
The Program Coordinator provides support for all Familyhood Programs and is responsible for assisting all Familyhood Program Managers with assessing, planning, and executing projects under the direction of the Senior Program Manager. The Program Coordinator will work directly with the Familyhood Program Managers on implementing changes and/or updates to project tasks, performs multi-faceted, time-sensitive functions to ensure projects are organized and completed effectively and efficiently; the ability to multi-task is essential. This position requires strong attention to detail, enthusiasm, problem solving, confidentiality and dependability, as well as clear written and verbal communication across all team members, external clients, and stakeholders.
What’s more, this role will serve as a key player in developing and managing systems that include but are not limited to organizational event planning and execution, data entry and analyses, and tracking project resources.
Essential Job Functions
Provide logistical support for a range of meetings and events, including conferences, roundtables, site exchanges, webinars and other virtual trainings, and other learning opportunities
Assist with web-based registration sites (e.g., Cvent) for Familyhood-sponsored events and assist with managing online registration process
Provide on-site logistics support and services, including managing registration and shipping, receiving, and distributing print materials and supplies
Serve as webinar host using technology such as Webex, and provide training and support to staff using video conferencing technology
Complete post-event activities including assisting with post-conference/event reports, processing invoices, and managing inventory of event supplies and materials
Assist in the preparation of presentations, spreadsheets and other materials
Utilize verbal and written skills to communicate effectively with a range of stakeholders, including phone and electronic contacts, respectfully interfacing with others using tactfulness, friendliness, cooperation and diplomacy, as appropriate
Work with key staff to maintain accurate and thorough records of project activities, deliverables and outcomes
Provide support to Familyhood teams by assisting with phone calls, preparing resources for meetings and site visits, providing information to leadership team, and offering other support, as required
Provide support for the preparation of client reports and internal project management tools
Support other PS projects, as directed by members of the PS leadership team
Education/Training
Bachelor’s preferred
Excellent verbal and written communication skills required.
Experience
Minimum of 3 years of experience in a similar business support role, with a proven ability to meet expectations with accurate and efficient delivery
Strong Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
Strong organizational, multi-tasking and problem-solving skills, with exceptional attention to detail and the ability to remain calm and be effective under pressure
Proven ability to exercise sound judgment in the performance of responsibilities and the handling of information while upholding confidentiality, when required
Positive team player that works well individually and in teams, requires minimal supervision, is comfortable working within a corporate structure, but equally comfortable being flexible in response to rapidly changing circumstances
Excellent verbal and written communication and the interpersonal skills to communicate effectively with individuals at every level of an organization
Professional image and strong personal presence
Event logistics experience strongly preferred
Special Requirements
Ability to work a flexible schedule, including some evenings and weekends
Ability to travel in-state and out-of-state to provide on-site event support as necessary
Essential Physical Requirements
Sufficient mobility and strength to move about the facility. Ability to be mobile throughout the community.
